RETURN & REFUND POLICY

At Workspace Dreams, we take pride in delivering quality ergonomic furniture and a premium customer experience. We understand that buying furniture online is a considered decision, and we want you to feel confident and informed every step of the way. This policy sets out your rights and obligations clearly, in line with the South African Consumer Protection Act 68 of 2008 (CPA).

Please read this policy carefully before placing your order. By purchasing from Workspace Dreams, you agree to the terms outlined below.

2. Return Eligibility

To be eligible for a return, all of the following conditions must be met:

  • The return request is submitted within 14 days of your confirmed delivery date.
  • The product falls within our eligible return categories, being standard chairs and desks only.
  • The item is returned in like-new condition with no damage, excessive wear, stains, scratches, misuse, or missing parts.
  • The item is returned with all original components, accessories, hardware, and documentation included.
  • Original packaging should be retained and used where reasonably possible to protect the item during return transit.
  • Desks and flat-pack furniture must be fully disassembled, with all nuts, bolts, and fittings repacked as originally supplied.
  • Chairs must be safely repackaged to avoid transit damage during the return process.
  • Proof of purchase (order confirmation or receipt) is provided.

Workspace Dreams understands that customers may need to physically inspect, test, and experience ergonomic products in order to determine whether the product is the right fit for their workspace. Products may therefore be carefully tested during the 14-day return period, provided they remain in like-new condition and are returned complete and undamaged.

Workspace Dreams reserves the right to decline a return if:

  • The item shows significant signs of wear, misuse, damage, staining, scratches, missing parts, or abuse caused by the customer.
  • The item is returned in an unsanitary or heavily used condition.
  • The item is not adequately packaged for safe return transit.
  • The return reason is deemed invalid at our reasonable discretion.
  • The product is classified as made-to-order, custom, or non-returnable under Section 6.

3. Change of Mind Returns

We understand that sometimes a product may not be the right fit. If you change your mind about a purchase, you may request a return subject to the eligibility conditions in Section 2.

Please note that the 14-day change-of-mind return policy applies only to standard chairs and desks. Made-to-order, custom, and specially sourced products are excluded from change-of-mind returns.

Workspace Dreams will first work with you to try find a more suitable product or alternative option from our range where possible. This may include recommending a different ergonomic chair, desk, or configuration better suited to your needs and preferences.

If no suitable alternative product is available or the customer does not wish to proceed with an exchange or store credit, Workspace Dreams may approve a refund once the returned product has been received, inspected, and approved in accordance with this policy.


3.1 How It Works

  • Submit your return request by email to info@workspacedreams.co.za within 14 days of delivery.
  • Include your order number, the reason for your return, and clear photographs of the item in its current condition and packaging.
  • Our team will review your request and respond within 2–3 business days.
  • If approved, Workspace Dreams will arrange collection of the product through our preferred logistics or courier provider.
  • Return shipping costs for change-of-mind returns remain the responsibility of the customer unless otherwise agreed in writing.
  • Standard Chair shipping cost is R180 (excluding VAT) nationwide.
  • Once we receive and inspect the returned item, we will confirm whether it meets our return conditions.
  • If accepted, Workspace Dreams will proceed with an exchange, store credit, or refund depending on the circumstances.

3.2 Return Shipping — Change of Mind

Workspace Dreams will coordinate and arrange the return collection through our preferred logistics or courier partners to help ensure the safe handling and transportation of returned products.

The customer remains responsible for all return shipping costs associated with change-of-mind returns unless otherwise agreed by Workspace Dreams in writing.

Customers must ensure that returned products are appropriately packaged to avoid damage during transit. Workspace Dreams cannot be held responsible for products damaged due to inadequate packaging during the return shipment process.

3.3 Store Credit, Exchanges & Refunds

Once the returned product has been received and approved, Workspace Dreams may offer one of the following resolutions depending on the circumstances:

  • An exchange for another suitable product.
  • Store credit with no expiry date.
  • A refund to the original payment method where an exchange or suitable alternative product is not possible.

Store credit:

  • Has no expiry date and is valid indefinitely.
  • Can be used toward any future purchase on workspace-dreams.co.za.
  • Cannot be exchanged for cash once issued.

Refunds, where approved, will be processed within up to 10 business days after the returned item has been received and assessed.


4. Chair Sample Programme

Workspace Dreams offers a chair sample programme for selected chair models, allowing customers to experience and test certain ergonomic chairs before purchasing.


4.1 How the Sample Programme Works

  • Selected chair samples may be delivered to your home or office for testing.
  • Customers may test the chair for up to 7 days.
  • At the end of the trial period, Workspace Dreams will arrange collection of the sample chair.
  • If the customer decides to proceed, a new chair order may then be placed.

4.2 Sample Availability

Sample availability depends on:

  • The specific chair model requested.
  • Current sample stock availability.
  • The customer’s location.
  • Whether stock is available in Cape Town or Johannesburg.

Certain products may only be available as samples in specific regions. Workspace Dreams cannot guarantee sample availability for all products or all locations.


4.3 Sample Conditions

Customers are expected to take reasonable care of all sample products during the testing period. Workspace Dreams reserves the right to charge for any significant damage, staining, misuse, or missing components beyond normal evaluation use.


5. Damaged or Defective Items

We take full responsibility if your order arrives damaged, defective, or is not as described. Please inspect your order carefully upon delivery.


5.1 How to Report a Damaged or Defective Item

All damage or defect claims must be submitted within 14 days of your confirmed delivery date. To submit a claim:

  • Email info@workspacedreams.co.za with the subject line: "Damaged/Defective Item — Order #[Your Order Number]".
  • Include your full name, order number, and delivery date.
  • Attach clear photographic and video evidence of the damage or defect, including packaging if applicable.
  • Provide a written description of the issue.

Claims submitted after the 14-day window may not be eligible for resolution under this policy, but may still be assessed under your applicable product warranty (see Section 9).


5.2 Our Resolution Process

Once your claim is received and assessed:

  • We will arrange collection of the damaged or defective item at no cost to you.
  • Our primary resolution will be to send you a replacement item.
  • If a replacement is not available or not possible, we will issue a full refund to your original payment method within 10 business days of the assessment.

5.3 Wrong Item Received

If you received an incorrect item, please contact us at info@workspacedreams.co.za within 14 days of delivery. We will arrange collection of the incorrect item and arrange delivery of the correct item at no additional cost to you.


6. Non-Returnable Items

The following items cannot be returned, exchanged, or credited under any circumstances:


6.1 Made-to-Order & Custom Products

Certain products in our range are made to order and are clearly indicated as such on the relevant product page at the time of purchase. These include, but may not be limited to:

  • Fixed desks
  • Executive desks
  • Executive chairs (where indicated as made to order)
  • Storage units
  • Power solutions
  • Boardroom tables
  • Boardroom chairs
  • Meeting room chairs
  • Any other product displaying the "Made to Order" label on its product page

Because these products are manufactured specifically for your order, they cannot be returned, refunded, or exchanged once the order has been placed and payment received. Please ensure you have selected the correct product, configuration, and specifications before completing your purchase.


6.2 Other Non-Returnable Items

  • Sale items and clearance products.
  • Gift cards.
  • Products that are damaged due to misuse, abuse, negligence, or improper assembly by the customer.
  • Items returned without prior authorisation from Workspace Dreams.

7. How to Start a Return

Items sent back to us without prior authorisation will not be accepted and will be returned to the sender at their cost.

To initiate a return:

  • Step 1: Email info@workspacedreams.co.za within 14 days of delivery.
  • Step 2: Include your order number, reason for return, and photographs of the item and packaging.
  • Step 3: Wait for written approval from our team before shipping anything back.
  • Step 4: Once approved, Workspace Dreams will arrange collection through our preferred courier or logistics provider.
  • Step 5: We will provide collection details and further return instructions.
  • Step 6: Once received and inspected, we will notify you of the outcome within 2–3 business days.

8. Professional Assembly Services

Workspace Dreams offers an optional professional assembly and installation service in Cape Town and Johannesburg at an additional cost.

Please note: Workspace Dreams takes no responsibility for any damage to products, property, or persons occurring during or after the professional assembly service. Customers who opt for the assembly service do so at their own risk with respect to any damage that may occur in the course of assembly or installation. Any concerns arising from the assembly process should be raised directly with our support team, and we will do our best to assist.


9. Product Warranties

All Workspace Dreams products carry supplier or manufacturer warranties. The applicable warranty is determined by the relevant supplier's documentation and terms, which vary per product. Warranty documentation is available on request.


9.1 Warranty Coverage

  • Most chair products: minimum 5-year supplier warranty covering defects in materials and workmanship under normal use conditions.
  • Selected premium chair models: 7-year supplier warranty where indicated on the product page.
  • Furniture manufactured locally in South Africa: 5-year manufacturing warranty.
  • Height-adjustable desk mechanisms: warranty as provided by the mechanism supplier (German or Chinese origin, available on request).

9.2 Normal Use Definition

Normal use is defined as usage of up to 8 hours per day, 5 days per week, by a single user not exceeding the stated maximum weight capacity for the product. The maximum weight capacity for standard chairs is 125 kg, unless a different specification is stated for a specific product.


9.3 Back-to-Base Warranty Process

If a product develops a fault within the applicable warranty period:

  • Submit a warranty claim in writing to info@workspacedreams.co.za with your name, contact details, proof of purchase, a description of the defect, and clear photographic evidence.
  • Workspace Dreams will assess the claim and may require the product to be returned for inspection.
  • Upon verification that the defect falls within the warranty scope, Workspace Dreams will arrange repair or replacement within a reasonable timeframe.
  • Collection of warranty items will be arranged by Workspace Dreams at no cost to the customer.

9.4 Warranty Exclusions

Warranties do not cover defects or damage arising from:

  • Failure to assemble, install, use, or maintain the product in accordance with provided instructions.
  • Abuse, misuse, negligence, wilful damage, or use beyond the product's intended purpose.
  • Use exceeding the stated maximum weight capacity.
  • Unauthorised modification, alteration, or repair by any party other than Workspace Dreams.
  • Normal wear and tear, gradual deterioration, fading, or cosmetic changes over time.
  • Acts of God, fire, flood, water damage, infestation, or other events beyond reasonable control.
  • Damage caused during transit by a courier appointed by the customer.

10. Consumer Protection Act Compliance

This policy is designed to comply with the South African Consumer Protection Act 68 of 2008. Nothing in this policy is intended to limit or override your statutory rights under the CPA. In the event of any conflict between this policy and the CPA, the provisions of the CPA shall prevail.

Under the CPA, if a product is found to be defective within 6 months of delivery, you have the right to request a repair, replacement, or refund regardless of the terms of this policy.
